Answering telephone calls, e-mails and faxes; liaising with clients, Head Office and any other company related matters. General Office administration Answering telephone calls, e-mails and faxes; liaising with clients, Head Office and any other company related matters. Preparing invoicing, material costing list per job, updating job schedule and enquiries folder, including assisting with preparation of safety files, as necessary. Submitting material costing per completed job to Head Office once job has been invoiced 100% (material costing must be kept up to date during duration of the contract). Ensuring all contracts have order numbers issued timeously. Updating job list immediately changes are made and submitting to Head Office Submitting teams weekly schedule to Head office promptly every Monday morning. Keep up to date daily with: where each team is and how far they are / progress on each site, as this is often required. Assisting Branch Manager with team control, overseeing teams work schedules and stock control. Maintaining folders on computer and maintaining records on jobs, clients (all contact details), as well as enquiries. Following up on quotations, order numbers, queries or any issue relating to company jobs/business. Writing up monthly details for petty cash and expenses, and forwarding to Head Office timeously. Submitting month end salary information, including overtime, casual wages, absenteeism or any other relevant details Forwarding petrol slips to Johannesburg on a weekly basis Submitting copies of work sheets to Johannesburg daily/the following morning including all quotations and any other documentation and all other matters regarding the smooth and efficient execution of all administrative duties at the Cape town office, not mentioned above, but as instructed, or in the interests of the Company Gr 12 Qualification Previous work experience in a similar role Own vehicle and driverslicence is a must Between 1 - 3 Years
