Job description
Job Description: The Faculty Coordination Division is an academic service and support division within Central Academic Administration, under the Registrars portfolio. The purpose of the position is to ensure effective and efficient coordination between centralised and decentralised academic administration departments and faculties, related to the academic lifecycle of a student. The position has ten staff members reporting to the position and is responsible for all the planning and coordination of the academic structure, registrations, graduations, certifications, and alumni activities for the university. UJ is looking to appoint a Senior Manager in the Department to lead and manage the abovementioned business processes. Responsibilities:- Oversee all tasks related to the planning and coordination of the registration process for the University.
- Manage and coordinate alumni-related activities and events.
- Oversee the planning and coordination of the graduation ceremonies for the University.
- Developing, implementing, and managing new processes and systems as required for the improvement of academic administration business processes.
- Oversee the capturing and maintenance of the academic structure for faculties.
- Oversee the issuing of all the certificates, digital certificates, and qualification badges to graduates.
- Managing the budget and expenditure in the department.
- Managing all human capital management administration for the department.
- Oversee the general office administration and operations.
- Ongoing and timely handling of risks related to academic administration within the department.
Minimum requirements
- NQF level 8 qualification.
- Extensive knowledge of the AdaptIT student administration system.
- At least 7 years experience in academic administration in a higher education environment.
- Extensive knowledge of UJ practices, policies, and procedures relating to academic administration.
- At least 5 years of managerial experience.
- Knowledge of financial/budget principles.
- Knowledge of relevant legislation (e.g., Higher Education Act, Institutional Statute).
- Risk management experience.
- Sound knowledge of the entire student life cycle process.
- Leadership skills.
- Interpersonal skills.
- Facilitation skills.
- Computer skills.
- Exceptional written and verbal communication.
- Conflict resolution.
- Crisis management skills.
- Report writing.
- Planning and organising.
- Ability to work under pressure.
- Attention to detail.
- A Masters degree.
- Sound knowledge of all the UJ Systems (ITS, ARS, Perceptive Content, HEDA, Oracle, IDU etc).
