Job Advert Summary

The Academy Administrator is responsible for the planning, coordination, and administration of all training programmes offered by the Academy. This role ensures the smooth and effective delivery of training, from scheduling and logistics to learner communication and post-training interventions.

The Academy Administrator acts as a central point of contact for all learners, L&D Specialists, internal and external stakeholders of PPS.

Minimum Requirements

Education:

  • Matric
  • Bachelors degree in Human Resources, Education, Business Administration, or a related field preferred.

Knowledge and Skills:

  • Strong MS Office Software Proficiency: Ability to work with Excel, word, PowerPoint, Power Apps i.e: PowerBI.
  • Adaptability to Emerging Technologies: Willingness to learn and implement new digital tools and technologies to enhance training programs. This includes staying up to date with trends in learning technology.
  • Learning Management System (LMS) Administration: Experience managing and utilising Learning Management Systems (e.g., Moodle) for online course administration, and learner tracking
  • Project Management: Ability to plan, organise, and execute training programmes effectively.
  • Communication: Excellent written and verbal communication skills.
  • Interpersonal Skills: Ability to build rapport and maintain positive relationships with facilitators, learners, and stakeholders.
  • Problem-Solving: Ability to identify and resolve logistical issues and learners concerns.
  • Technical Skills: Proficiency in relevant software and technology.
  • Attention to Detail: Accuracy in record-keeping and reporting.
  • Adaptability: Ability to adapt to changing priorities and handle multiple tasks.
Duties and Responsibilities

Training Calendar Management:

  • Develop and maintain a comprehensive training calendar, scheduling courses, workshops, and other learning interventions.
  • Coordinate all logistical arrangements for training sessions, including booking venues, arranging catering, preparing training materials, and managing equipment.
  • Manage learner registration and communication, including sending invitations, confirmations, and pre-training information.
  • Track training attendance and maintain accurate training records.

Facilitator Support:

  • Liaise with facilitators to confirm schedules, provide necessary resources, and address any logistical needs.
  • Prepare and distribute training materials to facilitators and learners.
  • Collect feedback from facilitators and learners to evaluate training effectiveness and identify areas for improvement.

Learner Support:

  • Serve as the primary point of contact for learners, answering questions and providing support throughout the training process.
  • Manage learner feedback and address any concerns or issues.
  • Ensure a positive and engaging learning experience for all learners.

Hosting:

  • Create a welcoming atmosphere by setting the tone for training sessions, ensuring a positive and engaging learning environment. This could include:
  • Greeting learners and making them feel welcome.
  • Facilitating introductions and networking among learners.
  • Encouraging participation and fostering a sense of community among learners.
  • Administrative Tasks:
  • Maintain accurate training records and training databases. Including capturing of training data for skills reporting i.e: INSETA
  • WSP and ATR submissions
  • Learner Registrations on INSETA MIS
  • Administer learnership and internship programmes
  • Manage training-related documentation and ensure its accessibility for B-BBEE verifications
  • Assist in the development and implementation of new training programmes.
  • Encouraging participation and fostering a sense of community among learners.

Administrative Tasks:

  • Maintain accurate training records and training databases. Including capturing of training data for skills reporting i.e: INSETA
  • WSP and ATR submissions
  • Learner Registrations on INSETA MIS
  • Administer learnership and internship programmes
  • Manage training-related documentation and ensure its accessibility for B-BBEE verifications
