Job Title: Executive Assistant Position Type: Full-Time, Remote Time Zone: CST/ EST About Pavago: Pavago is seeking a highly organized and proactive Executive Assistant to support our clients team, streamline day-to-day operations, and ensure the efficient management of key projects and communication. Responsibilities:
- Executive Support: Provide executive-level assistance to help improve day-to-day organization, communication, prioritization, and reporting across projects.
- Financial Summaries & Presentations: Assist with the preparation of financial summaries, presentations (PowerPoint/Canva), and other important documents.
- Financial Literacy & Data Organization: Use financial literacy to help organize and streamline financial data/spreadsheets into clear, concise, and impactful presentations.
- Communication Management: Manage phone, text, and email communication, ensuring timely and clear responses.
- Report & Task Organization: Prepare and organize reports, track tasks, and respond to standard emails.
- Team Coordination: Take key communications from leadership to relevant team members, ensuring smooth status updates on ongoing projects and initiatives.
- Routine Operations Management: Assist in managing routine responsibilities and tasks, freeing up leaderships time to focus on the broader business vision and strategy.
- Reporting Tools: Help with reporting using platforms such as Salesforce or Tableau as required.
- Strong Organizational Skills: You are highly organized and thrive in a fast-paced environment.
- Excellent Communication: You have excellent communication skills and can effectively liaise between different teams and leadership.
- Proactive and Detail-Oriented: You are proactive, detail-oriented, and take ownership of tasks.
- Project Management Knowledge: You have a strong understanding of project management tools and techniques.
- Eagerness to Learn: Youre eager to learn new tools and software, especially in the areas of financial literacy and reporting.
- Presentation and Reporting Skills: You have experience or interest in developing presentations and reports using Microsoft Excel, PowerPoint, Canva, Salesforce, and/or Tableau.
- Proven Experience: 4-5 years of proven experience in an executive assistant role.
- Software Proficiency: Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, etc.).
- Reporting Tools Knowledge: Familiarity with reporting tools like Salesforce, Tableau, or similar platforms.
- Organizational & Multitasking Skills: Strong organizational and multitasking skills.
- Communication Management: Ability to manage communication across different channels (email, phone, text).
- Financial Literacy: Financial literacy, or at least basic knowledge, to assist with financial summaries and reports.
- Communication Skills: Excellent verbal and written communication skills.
- Initial Phone Call: A brief conversation to understand your experience and fit for the role.
- Technical Assessment: A practical assessment to demonstrate your proficiency with Excel, CRMs, and reporting.
- Final Interview: A comprehensive discussion with the leadership team to ensure mutual alignment.
- Offer Placement: Successful candidates will receive an offer to join the team.
