Receptionist

We are currently seeking a friendly and professional individual to join our team as a Receptionist. The ideal candidate will have excellent communication skills, a strong ability to prioritize tasks and a commitment to delivering exceptional customer service. As the first point of contact for our company, you will play a critical role in creating a positive and welcoming atmosphere for clients, visitors and employees.

Main responsibilities

Front desk and client services:

  • Greet and welcome customers, visitors and employees in a courteous and professional manner.
  • Manage incoming calls, effectively screen and redirect calls to the appropriate person/department and take accurate messages.
  • Handle telephonic enquiries, providing prompt and professional assistance while maintaining a high level of customer satisfaction.
  • Maintain a clean and inviting reception area, upholding a professional atmosphere for all visitors.
  • Manage courier services, including coordinating collections and deliveries.
  • Monitor and restock office supplies to ensure they are consistently available.

Operational support:

  • Provide administrative assistance, facilitating smooth operations and efficient workflow.
  • Assist in managing the receiving and processing of orders, ensuring accuracy and efficiency.
  • Conduct monthly stock takes, maintaining minimum inventory levels.
  • Handle accounts receivable and accounts payable responsibilities.
  • Monthly update of asset register.
  • Administer petty cash.
  • Process and prepare payments and reconciliations for creditors.
  • Maintain an organized and secure filing system, accurately managing documents.
  • Sort and file documents with proper labelling for easy access.
  • Actively participate in team meetings and contribute ideas for enhancing office processes.

Minimum criteria

  • Matric/Grade 12
  • At least 2 years experience in a receptionist role with a focus on customer service.
  • Excellent verbal and written communication skills with the ability to interact professionally with different individuals.
  • Strong organizational skills with the ability to prioritize tasks, effectively manage time and maintaining attention to details.
  • Proficient in using MS Office.
  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion and professionalism.
