Warehouse and Distribution Manager

Warehouse Management

· Overall responsibility assumed for Inbound logistical aspects including but not limited to timeous receipt and delivery of (GRN) components/material as per delivery schedules, as well as timely availability of inventory (binning) as and when required.

· Managing supplier collections in conjunction with procurement rules in order to support lowest cost/ best service model.

· Overall responsibility assumed for all Warehouse operations (internal, external and rebate warehouses), including but not limited to the improvements to the level of optimization of all receiving, handling, and expediting of parts and materials.

· Overall responsibility assumed for all inventory management operations including but not limited to the maintaining of stock integrity, management of obsolete stock, stock/cycle counts and corrective actions, binning processes, visibility of stock levels, non-stores warehouse inventory management, legislative compliance in terms of applicable legislative aspects i.e., customs rebate stores, applicable policies, processes, and procedures.

· Management of the movement of goods into and out of the rebate warehouse in accordance with the applicable regulatory framework as stipulated by SARS including maintenance of applicable documentation/ registers etc and as required by the materials planning compliance team.

· Manage and implement appropriate measures to effectively control product losses/damages (wastages) as per set standards during product Storage/handling activities.

· Overall responsibility assumed for the warehouse/planning operations including but not limited to management of Picking to Packing schedules in line with production schedules and timely handovers, picking operations management, boat allocations for all consignment stock at month end i.e., resin, crestomer, cormat, cloth, other etc according to FIFO and prioritization rules.

Distribution Management

· Overall responsibility assumed for distribution of stock items to plant operations including but not limited to loading of products according to FIFO and prioritization rules, improve and optimize the outbound delivery of goods to various operations; packing schedules management; company vehicle management including vehicle checks and checklists, rental transportation contract management.

· Overall responsibility assumed for reverse logistics including but not limited to the management of end-to-end Returns and Reverse Logistics; identification and assistance with the resolution of issues with product, process, and documentation, as required. Ensure regular, clear, and concise reporting of status of all aspects of returns.

· Ensure development of efficient driver schedules to minimize cost and maintain detailed records of vehicle servicing and inspection Scheduling regular vehicle maintenance to ensure operational efficiency.

· Overall responsibility assumed for all site warehouse operations including but not limited to the improvements to the level of optimization of all receiving, handling, and expediting of parts and materials. Maintain high levels of service delivery to various production facilities.

· Facilitate and implementation of best practice criteria in terms of warehouse process (Receiving, Storage, Picking, Marshalling and Dispatch).

· Management of the rebate item movement in accordance with the applicable regulatory framework as stipulated by SARS including maintenance of applicable documentation/ registers etc.

Expediting Management

· Manage deliver activities of the expedited items to ensure effective boat hand over.

· Develop maintain and implement expediting plans and liaise with other departments to resolve shortfalls.

· Facilitate flow of shortfall material between warehouse, Stores, Factory and Harbour.

· Collaborating with Procurement to identify solutions for ongoing problems.

· Escalate high risk materials to General Manager - Quality and Customer Relationship and ensure clear action plan in place.

· Develop and execute actions plans in conjunction with planning, procurement, factories and customers service to reduce the number of short falls and expedites.

Capacity and Financial Management

· Refine, and leverage warehouse management system with emphasis on accurate cross functional goods storage and movement.

· Auditing of processes to identify opportunities to improve and to proactively detect anomalies.

· Ensure that the function is run on sound legislative, ethical, professional and compliance principles in accordance with companys policies, practices, and procedures.

· Anticipate, formulate, implement, and drive related projects, practices, policies, and processes on a continuous basis i.e., efficient space utilisation, warehouse, handling, shipping legislative adherence, stock control management, applicable metrics and report generation/distribution, inventory management activities etc.

· Formulate outbound long-term strategy to include future capacity requirements to support current and future growth.

· Developing, implementing, and controlling of the logistics and warehouse functional OPEX and CAPEX Budget.

People and Reporting

· Refine organisational structure to support Warehouse and Distribution objectives.

· Ensure up to date job descriptions and contracts of employment.

· Ensuring that the operating objectives and standards of performance are understood and owned by each team member and monitor the actions and performance of all team members providing continuous guidance and mentoring activities to the team members.

· Ensure a disciplined highly skilled and motivated workforce is maintained / resolving disciplinary issues according to the Company Policies.

· Implement Succession planning and Employment Equity as per the Employment Equity Plan.

· Financial reporting: Inventory accuracy, on time movement, stuck pallets, aged pallets, clear GIT, cycle count progress, root causes for variances, Cost vs budget, planned vs unplanned and operational measures for monthly reporting to exco including reporting on cost saving projects vs expectations and managing resultant opportunities or gaps

Environment, Health, and Safety/ Risk Management Compliance Activities

· Manage all Flammable warehouses in accordance with EHS legislation ensuring compliance.

· Monitor and oversee the Environmental, Health and Safety and Occupational Health related aspects/functions/actions according to the applicable Company policies/procedures standards in accord with the OHSA compliance and legislations.

· Responsible for the constant monitoring of conditions, facilities, equipment etc. in all areas of responsibility to ensure good housekeeping and acceptable safety standards are adhered to and always maintained.

· Maintain standards of conformance of safety and housekeeping audits as per the stipulated minimum criteria monthly.

· Safeguards warehouse operations and contents by establishing and monitoring security procedures and protocols to limit/eliminate potential loss control aspects i.e., theft, unauthorised removal and/or damages to good during material handling processes.

· Ensure that all precautions / controls are in place to safeguard stock held off site including all site stores.

QUALIFICATIONS AND EXPERIENCE:

· Diploma (NQF6) qualification in Supply Chain Management or relevant.

· Degree/Btech (NQF7) qualification in Supply Chain Management or relevant.

· minimum of 5 years proven warehousing and distribution experience on managerial level.

· Expertise in warehouse management procedures and best practices.

· Proven track record of efficiency improvements, quality improvements and project management.

· Proven ability to implement process improvement initiatives.

· Strong knowledge of warehousing Key Performance Indicators (KPIs).

· Hands on experience with warehouse management software and databases.

· Significant experience in Lean Manufacturing and 6 Sigma (5-S, Kaizen, Continuous Flow, Lead Time Reduction, Value Stream Mapping, and Kanban).
