Ensures accurate, efficient management of OEM warranty claims and financial procedures.

Minimum Requirements

Grade 12/Matric or Equivalent. Diploma/Certificate in Accounting, Finance, Bookkeeper Qualification or a Related field will be advantageous. Minimum of 3 - 5 years experience in Financial Administration and/or Warranty related role. Experience with SAP or similar ERP system will be advantegeous. Experience in an OEM waranty department will be advantegeous.

Duties and Responsibilities

General Ledger Management: Download, update, and balance warrantY related general ledger accounts to ensure financial accuracy. Claims Registration: Promptly register all new warranty claims in the claim register, accurately identifying claim types. Reconciliation Template Selection: Select and apply appropriate reconcilation templates based on claim type (e.g. STD for Standard Warranty). Costing reconciliation: Extract job costing details and reconcile them with received credit to ensure financial alignment. Authorisation Submission: submit warranty reconciliations for authorisation to designated managers based on claim value thresholds. Master Data and GL updates: update Master Data and General Ledger excel sheets with authorised reconciliation information. Volvo Campaign Management: Maintain and update OEM Campaigns Master Data with processed campaign claims. OEM Credit Run Processing: Download, process, and distribute OEM credit notes to relevant finance and intercompany personnel. Journal Preparation and Posting: Prepare warranty journals from reconciliations and post them in SAP. GL Account Clearing: Clear related items from general ledger accounts after journal posting for accurate tracking. Monthly Warranty Reporting: Generate and distribute monthly reports on warranty GL reconciliations, account balances, and key metrics. Campaign Performance Reporting: Report on campaign return ratios, write-off percentages, and completion rates. Outstanding Campaign Tracking: Distribute lists of outstanding campaigns to relevant branches. Parts Discarding Compliance: Ensure parts discarding processes adhere to OEM guidelines and maintain accurate records.
