Role Description:

The Customer Experience Assistant is a vital member of our outreach team, dedicated to ensuring accurate customer records, capturing essential data, and supporting lead generation activities. This role is key to delivering effective customer engagement and driving successful sales initiatives by maintaining the reliability of our outreach efforts.

Key Performance Areas:

1. Customer Information Management

  • Maintain and update customer records in the CRM system, ensuring all information is accurate and up to date.
  • Process and verify changes to customer details, including contact information, address updates, and service preferences.
  • Handle confidential customer information with integrity and in compliance with data protection regulations.

2. Data Capturing

  • Accurately input and capture data from various sources into the CRM system.
  • Assist in compiling and generating reports to support outreach and sales strategies.
  • Monitor data for inconsistencies or errors and take corrective action promptly.

3. Social Media Management

  • Respond to comments and maintain a respectful and positive tone on social media platforms.
  • Address inquiries in the inbox promptly and professionally.
  • Post relevant and engaging content on social media platforms to enhance brand visibility.

4. Lead Generation Support

  • Identify and document potential leads from incoming inquiries, online research, and marketing campaigns.
  • Collaborate with the outreach team to pre-qualify leads for follow-up by outreach agents.
  • Maintain a lead database and track the status of leads throughout the sales funnel.

5. Administrative Support

  • Provide general administrative assistance to the outreach centre, including scheduling meetings, preparing documents, and managing correspondence.
  • Assist in coordinating and executing outreach campaigns and events.
  • Take meeting minutes and distribute them to relevant stakeholders.

6. Stock Management

  • Conduct regular stock takes according to established processes.
  • Manage and control stock inventory to ensure accurate tracking.
  • Process stock orders and follow escalation protocols when necessary.
  • Book new stock into ARIA, create waybills, and track delivery statuses.

7. Collaboration and Communication

  • Work closely with outreach agents, sales teams, and other departments to ensure seamless communication and coordination.
  • Actively participate in team meetings and contribute to discussions on process improvements and outreach strategies.

8. Continuous Improvement

  • Stay informed about industry best practices and emerging technologies for data management and lead generation.
  • Identify opportunities to streamline administrative processes and improve data accuracy and efficiency.
