Eduvos is looking to employe an Academic Operations Coordinator to be based any of our 12 national campuses.

The role:

To provide an administrative support function to the Academic Operations team in respect of the coordination of the various departmental projects and daily operations

Minimum Requirements

Minimum Qualfications:

Bachelors Degree (Project Management certification (higher certificate) will be advantageous)

Minimum Experience:

One to two years administrative experience; an understanding of the South African higher education systems and regulatory framework will be an advantage

Duties and Responsibilities

Data, document and information management:

  • Updating process / SOP documents where required (Manager will sign-off and approve) - Maintain document library
  • Agreements and contracts (gathering and storing)
  • Maintain Organogram (UTD and cascading)
  • Draft letters for AOM
  • Design and maintain project templates as required by the Academic Operations Manager as per Eduvos branding standards
  • Support with the capturing of relevant information onto the budget templates
  • SOP collation
  • Maintain academic operations intranet pages
  • Planning documentation
  • Manages the central repository for all departmental documentation (sharepoint/intranet)
  • Contacts various campuses to gather academic operation information as required by the academic operations team
  • Central repository created and information uploaded
  • Data capturing
  • Data gathering

Event support / administration:

  • Administer the implementation of academic operations on-boarding process with managers (Develop and maintain our processes)

Diary and meeting management, support and event scheduling:

  • Schedule training on academic, operational and compliance requirements
  • Schedule project and team meetings
  • Project coordination - Tracking of resources, meetings, agendas and minutes of meetings / Minute taking at meetings
  • Committee (tracking, minutes)
  • Follow up on all outstanding activities as per the minutes
  • Activity log for minutes available
  • Record of minutes readily available in the agreed shared repository

Project administration

  • Designing and maintaining project trackers (Also train staff on use of tracker)
  • Train on trackers
  • Develop and maintain change request logs

Financial administration

  • External invigilation claims (tracking and processing)
  • Provides administrative support for budgeting and reporting
  • Assist in obtaining quotes from vendors
  • Reports linked to budget is generated
  • Accurate capturing of budget items on the budget templates
  • Vendor quotes saved on central repository

General administration

  • Leave planning (monitoring)
  • Birthdays (personalia)

Travel arrangements (booking of flights)
