Youll be the finance and ops backbone, working directly with the founder and CFO (no middle management fluff here). If Xero is your love language and your calendar game is strong—this ones for you. The Role Youll be responsible for: Bookkeeping
  • Daily bookkeeping using Xero across B2B and B2C products
  • Payroll preparation and reconciliation
  • Credit control and client invoicing
  • Management reporting - monthly summaries, P&L, and forecasting support
  • Bank reconciliation and payment tracking
  • Liaise with the external accountant (year-end, VAT, tax)
  • Maintain accurate, clean accounts and financial data
  • Provide financial clarity to support decision-making
Virtual Assistant / Project Coordination
  • Manage founder and team calendars, support scheduling (especially training/events)
  • Coordinate internal and external projects (e.g. outreach campaigns, launches)
  • Assist with systems, process improvements, and internal ops
  • Prepare documents, presentations, or research as needed
  • Liaise with team and stakeholders across time zones
  • Handle email, documentation, and general admin with attention to detail
Three Key Priorities
  • Maintain clean, accurate accounts with minimal oversight
  • Handle payroll, invoicing, and reconciliations independently
  • Proactively support the team through strong organisational and admin skills
The Person
  • 3+ years in a bookkeeping/finance role
  • Xero proficiency ( youll use it daily)
  • Payroll, reconciliation, and VAT experience
  • Strong admin/project coordination skills
  • Professionalism and warmth in communication
  • A problem-solving mindset - you dont just follow instructions, you anticipate needs
  • Experience supporting founders or small teams is a plus
