Frontline Assistant

The Frontline Assistant serves as the first point of contact for visitors, donors, callers, and all Islamic Relief South Africa stakeholders, ensuring professional and courteous interaction that aligns with Islamic Relief South Africas values and etiquette. The role involves managing the switchboard and coordinating access control to maintain an efficient and welcoming office environment. It also includes supporting administrative tasks and processing donations in accordance with internal practices.

Switchboard Operations

· Answering and directing phone calls to the relevant staff.

· Taking messages and transferring them to relevant staff extensions.

· Providing general information about the organization as may be requested by the caller.

· Maintaining a professional and courteous demeanor at all times.

· Screening call logs to note and return missed calls.

Frontline Duties

· Attend to walk-ins and visitors, respond to basic inquiries, and connect them to the relevant staff member where necessary.

· Escort visitors to the designated meeting points as required.

· Monitor entrance and exit access to the building.

· Ensure that security procedures are adhered to for all visitors and staff.

Donations and Payments

· Process in-kind donations, cash, and card transactions in compliance with organizational policies.

· Assist in maintaining complete and accurate records of all transactions.

Asset Management

· Oversee the signing in and out of organizational resources and assets as directed by the Regional Office Administrator or National Office Administrator.

· Assist in maintaining records of all incoming and outgoing Islamic Relief South Africa resources and reiterate proper usage thereof.

· Assist with inspecting returned assets and promptly report any defects, losses, or damages.

Administrative Support

· Perform basic administrative duties as assigned by the Office Administrator.

· Assist with banking-related tasks when required.

Adhoc Duties

Additionally, the Frontline Assistant will be expected to perform duties that align with the organizations interests and goals, provided they are within your capabilities and expertise.

  • Functionally reports to the Regional Office Administrator for daily operations and coordination
  • Head of Finance and Support Services
  • All office staff
  • Callers and visitors to IRSA

Physical Demands/Working Conditions

· Required ability to work under pressure and multitask.

· Understanding of the service required by IRSA to ensure timely delivery and facilitate ease of output.

· Fast-paced and developing environment that requires innovative and resolution-oriented thinking.

· Must be accountable, responsible, honest, and act with integrity.

Educational Qualifications, Skills and Knowledge

  • Matric certificate (or equivalent qualification).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Access, Outlook).
  • Experience in customer service, administrative support, or related fields.
  • Strong interpersonal skills, including professionalism, patience, and effective communication.
  • Prior casual work or community volunteer experience is advantageous.
