Practice Manager

Our client, with a national network of clinics, based in Panorama, is seeking to recruit a well presented and experienced Medical Practice Manager. You will play a vital role in managing front desk operations, ensuring exceptional patient care, and maintaining seamless day-to-day operations. The ideal candidate will a have a minimum of 5 - 7 years experience within the medical industry.

The successful candidate will work in an Administrative Hub with responsibilities in Finance, Administration, Human Resources and Information Technology. The Administrative Hub manages all the back-office requirements for the entire network of clinics. Responsibilities include interacting with staff, doctors, patients, and external parties, managing schedules, resolving administrative issues, and providing exceptional support across various functions.

You will be responsible for but not limited to:

  • Greet and assist patients in a courteous and kind manner, whether in person or telephonically
  • Schedule appointments and maintain records and accounts
  • Attend to patient enquiries
  • Run an efficient diary and appointment schedule for doctors
  • Keep patients informed if the Dr is running late and manage service delays professionally
  • Show empathy towards patients and anticipate patients anxieties
  • Efficient filing and retrieving of patient records
  • Maintain patient accounts by obtaining, recording and updating personal and financial information
  • Billing and medical aid co-ordination: managing and directing inquiries to appropriate third party with regards to medical billing, medical aid and cash surgery quotations
  • Maintain accountability for payments, collections and receipting of monies
  • Maintain practice inventory and equipment by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, verifying receipt of supplies, and scheduling equipment service and repairs
  • Attend to patient emergencies
  • Protect patients rights by maintaining confidentiality of medical, personal, and financial information
  • Ensure a neat and tidy reception area
  • Circulation of theatre lists and co-ordination of theatre logistics
  • General administration
  • Provide comprehensive support to administrative staff, doctors, and various teams within the organization
  • Resolve administrative issues and support debtors and authorization teams with billing- and medical aid related issues
  • Offer IT support as needed and manage SharePoint effectively
  • Manage doctors calendars and ensure efficient scheduling
  • Handle HR tasks including leave management, and onboarding of new employees and doctors
  • Communicate regularly with staff, doctors, patients, hospitals, and other involved parties
  • Ensure compliance with healthcare regulations, including the PoPI Act
  • Build a vast knowledge of company programs and learn how they operate to effectively support organisational needs

Qualifications and Requirements:

Matric/ Grade 12

Tertiary qualification (Admin / Finance / HR) will be adv.

Minimum of 5 - 7 years experience as a Practice Manager or in a similar role is preferred

Proficiency in Microsoft Office Suite & SharePoint

Own reliable transportation and a valid drivers license

Skills:

Excellent written and verbal communication skills (English and Afrikaans required)

Strong organizational and time-management abilities

Attention to detail and high level of accuracy

Ability to work independently and within a team

Strong organizational and leadership skills with the ability to handle multiple responsibilities

Excellent problem-solving abilities and a proactive approach to issue resolution

Outstanding interpersonal and communication skills, capable of building relationships with diverse parties

Proficiency in Information Technology support, SharePoint management, and familiarity with healthcare regulations is crucial

Ability to quickly learn and adapt to new environments and responsibilities
