Senior Fund Administrator
Job Summary
The Senior Fund Administrator for Call Recons is responsible for managing and overseeing the full trade reconciliation process, ensuring accuracy, timeliness, and completeness of daily reconciliations across multiple asset classes and portfolios. The role requires strong coordination of daily trade call activities and issue resolution.
Key Responsibilities
- Trade Reconciliations Administration
- Manage the daily trade and cash reconciliations, ensuring accuracy and timely execution.
- Perform daily, weekly, and monthly reconciliations of call positions with accuracy and attention to detail.
- Review and resolve complex breaks, ensuring accurate matching between operational systems and external counterparties (custodians, brokers, etc.).
- Ensure all trades are properly captured, matched, and settled in accordance with market and client SLA requirements.
- Perform daily reconciliations related to cash, positions, valuations, and trade confirmations.
- Ensure accurate categorisation and tracking of break
- Address and supporting in resolving client queries efficiently.
- Investigate, track, and document reconciliation breaks.
- Assist in escalation, drafting, and reviewing incident reports, ensuring timely documentation of issues.
- Keep documentation well-organised and easily retrievable to support internal reviews and audits.
- Support audit processes and regulatory reporting, ensuring compliance with all reporting requirements.
- Assist in preparation of reports reports on fund performance, cash flows, and other key metrics to senior management.

- Compliance & Regulatory Adherence
- Maintain full compliance with internal policies, procedures, Client SLAs, and control frameworks.
- Ensure adherence to operational controls and audit requirements, maintaining evidence and audit trails.
- Support internal and external audit processes with reconciliation-related documentation and responses.
- Identify potential risk areas in day-to-day operations and escalate them to management for further assessment.
- Stakeholder Collaboration & Investor Relations
- Act as the primary liaison between internal teams to ensure alignment.
- Build strong relationships across departments and contribute to a seamless reconciliation process.
- Escalate and follow up with custodians or relevant stakeholders as per established procedures when resolution is not immediately achievable.
- Work closely with risk, compliance, legal, and investment teams to mitigate operational risks and maintain process integrity.
- Collaborate with internal and external stakeholders to ensure efficient trade execution, settlement, and reporting.
- Process Improvement & Ad-Hoc Tasks
- Identify recurring issues and work collaboratively with relevant teams to implement corrective actions.
- Support system enhancements and automation efforts to streamline trade processing and reconciliation.
- Support and guide newer team members through training and mentorship, and act as a backup resource when required.
- Assist with ad-hoc requests from clients and management.

Education & Experience:
- Bachelors degree in Accounting, Finance, Economics, or related field.
- 3+ years experience in financial services (investment management) industry
- Diploma or course in SA Financial Market Instruments will be an advantage
- Previous trade cycle experience in Unit Trusts and the Unitised trading process would be advantageous.
- Proficiency in financial systems, trade platforms, and data management tools.
- Strong knowledge of bonds, money market instruments, and settlement processes.
- Proficient in Microsoft Suite, particularly Excel.
